Budgets

Allocate spend for specific purposes and control access and restrictions

Budgets are the foundation of financial control on Givefront. When you allocate spend using a budget, you can rest easy knowing that all requirements will be enforced.

Creating a Budget

Admins can create a budget on the budgets tab. When creating a budget, you can set:

  1. Refresh Interval: Does the budget limit reset daily, weekly, monthly, or never
  2. Spend Restrictions: Control the amount that can be spent on the budget
  3. Spend Policy: Require receipts or memos for transactions assigned to this budget

Controlling Access

A member's personal card can be given access to a budget. After they spend on their personal card, they will be allowed to assign transactions spent from their personal card to the newly created budget.

After the budget is created, access can be modified on the access tab of the budget.

Tracking Spend With Budgets

Budgets exist to track spend across more than one member of your organization and more than one card. The way this is achieved is by assigning a transaction to a budget.

Example

Matt is issued an individual card which can spend on both Restaurants and Rideshare Apps. This individual card is allowed to spend out of a meals budget, which only allows Restaurants. If Matt purchases books an Uber, his transaction will be approved, but he will not be able to assign the transaction to his meals budget.

Freezing and Archiving Budgets

Budgets can be canceled or frozen by clicking on the Actions dropdown in the upper right hand corner of the budgets display.

  • Freezing a budget it prevents new card transactions from being assigned to the budget until the budget is unfrozen.
  • Archiving a budget indicates that it is no longer needed or used. No personal card transactions can be assigned to the budget going forwards. A budget can't be unarchived.
