Sync your Givefront Transactions with an accounting provider of your choice

Currently Givefront only supports syncing with Quickbooks Online and Xero. Support for Aplos, and other platforms is coming soon!

Connecting Your Accounting Provider

Head to https://app.givefront.com/accounting-setup or click on the Accounting tab in the sidebar to start the accounting setup. From there, you will be prompted to select your accounting provider, and click a link to sign in and authorize Givefront to export your transaction data.

Note

In order to setup accounting sync for your organization, you must be either a bookkeeper or admin on Givefront. Additionally, you must be an admin user on your accounting platform in order to authorize Givefront to connect.

After approving access to your accounting provider, Givefront will sync your chart of accounts, and prompt you to create a new liability account to represent your Givefront card expenses. You will then be able to view the main accounting dashboard and start classifying expenses.

Defining Coding Rules

The best way to save time reconciling your transaction data is to setup coding rules to automatically classify transactions. Givefront supports three types of coding rules.

  1. Card Rules: Map all transactions from a physical or virtual card to an expense account.
  2. Budget Rules: Map all transactions assigned to a given budget to an expense account.
  3. Category Rules: Map all transactions of a given spend category to an expense account.

If there are multiple rules that could apply to a transaction, Givefront uses the following hierarchy to determine which rule to apply:

Card Rules > Budget Rules > Category Rules

Syncing Transaction Data

The main accounting dashboard breaks down unsynced transactions into those that need review and are ready to sync. In order to initiate a sync, you can press the Sync All button in the upper right hand corner. This will only sync the transactions which have been marked as ready to sync.

Note

You can sync transactions to your accounting platform with whatever frequency makes sense for your organization. You can review and sync small batches, or do one large sync at the end of the month. Givefront ensures that each transaction only appears once in your accounting platform.

Once a transaction is synced, the expense account will no longer be editable in Givefront, but you can always edit it within your accounting platform.

Additionally, when viewing the transaction, you will see a link to view the synced transaction within your accounting platform.

In your accounting platform, you will also see a link to view the transaction in Givefront. The link will appear in the expense memo on Quickbooks and as a button in Xero.

All Information Synced

Givefront syncs all relevant transaction data to your accounting platform, in addition to assigning the expense to the correct expense account. Synced data includes:

  1. Transaction amount and date
  2. Transaction memo
  3. All Receipts
  4. Name of cardholder
